How we handle your information

Privacy should be clear and straightforward. This policy explains what information we collect, how and why we use it, and the choices you have regarding your personal information.

Introduction

Seichō Collective Inc. (“Seichō,” “Seichō Collective,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through www.seichoco.com (the “Site”), how we use and share it, and the choices available to you. This Policy applies to the Site only; if you become a client, our handling of information related to your engagement will also be governed by our services agreement and any applicable data processing terms.

By using the Site, you agree to the collection and use of information as described in this Policy. If you do not agree, please do not use the Site.

Information we collect

a. Information you provide directly

When you submit a consultation request through the “Book a Consultation” form on the Site, we collect the information you enter, which may include:

  • Full name

  • Practice or organization name

  • Your role (e.g., Owner, Physician, Practice Administrator, Office Manager, Marketing Manager, Other)

  • Email address

  • Phone number

  • Practice website

  • Specialty or type of practice

  • Number of practice locations

  • Whether you have worked with a marketing agency before

  • What is prompting your inquiry and what success looks like for your practice

  • Your general budget comfort range

  • How you heard about us

  • Your consent to receive text messages, if you opt in

If you contact us directly by email or phone, we also collect the information you choose to share in that communication.

b. Information collected automatically

When you visit the Site, certain information is collected automatically:

  • Fathom Analytics. We use Fathom Analytics, a privacy-focused analytics service, to understand aggregate Site traffic and usage (for example, page views, referring site, general device/browser type, and country-level location). Fathom is designed to operate without cookies and without collecting personally identifiable information tied to an individual visitor. Learn more about Fathom’s practices at usefathom.com/privacy.

  • Framer hosting analytics. The Site is built and hosted on the Framer platform, which collects standard site-performance and usage analytics (such as page views and general traffic patterns) as part of operating and securing the Site. See Framer’s own privacy practices at framer.com/legal/privacy.

  • Basic technical data. Our hosting infrastructure may log standard technical information (such as IP address, browser type, and access timestamps) for security, performance, and troubleshooting purposes, consistent with standard web server operation.

As of the effective date of this Policy, the Site does not use Google Analytics, Meta/Facebook Pixel, or other third-party advertising or retargeting pixels, and does not display a cookie-consent banner because our current analytics tools do not rely on tracking cookies. If this changes, we will update this Policy and, where required by law, implement an appropriate consent mechanism.

c. Information we do not collect

The Site does not currently offer a newsletter signup, blog comments, or other public-facing data-collection features beyond the consultation form described above. We do not knowingly collect sensitive categories of personal information (such as health, financial account, or government ID information) through the Site.

How we use your information

We use the information described above to:

  • Respond to your consultation request and evaluate whether a partnership may be a good fit;

  • Communicate with you about your inquiry, including by phone, email, or text message (where you have opted in);

  • Understand, maintain, and improve the Site and how visitors use it;

  • Maintain the security and proper functioning of the Site;

  • Comply with legal obligations and enforce our Terms & Conditions;

  • With your consent, send you marketing or informational communications about Seichō’s services.

We do not use the information collected through the Site to make automated decisions that produce legal or similarly significant effects about you.

Text messaging (SMS) communications

If you opt in on our consultation form, we may send you text messages related to your inquiry and our services. Consent to receive text messages is never a condition of any purchase or engagement. Message and data rates may apply, and message frequency varies. You can opt out at any time by replying STOP, or get help by replying HELP. We do not sell or share mobile opt-in data or phone numbers collected for texting with third parties for their own marketing purposes.

How we share your information

We do not sell your personal information. We may share information with:

  • Service providers, such as our website hosting platform (Framer), analytics provider (Fathom Analytics), and email, phone, or scheduling communication providers, solely to help us operate the Site and respond to your inquiry;

  • Professional advisors, such as attorneys or accountants, where necessary;

  • Successors, in connection with a merger, acquisition, financing, or sale of all or part of our business, subject to standard confidentiality expectations;

  • Legal and safety purposes, where we believe disclosure is necessary to comply with a legal obligation, protect our rights or property, or protect the safety of any person.

We do not share the information you submit with other prospective or current clients, and we do not use named client stories publicly without that client’s written sign-off; where we describe past work without such sign-off, we anonymize it (for example, “a multi-location ophthalmology group”).

Cookies and similar technologies

Fathom Analytics, our primary analytics tool, is designed to operate without setting tracking cookies on your device. Our website host (Framer) may use a limited number of strictly necessary technical cookies or similar local storage required for the Site to function and to be served securely and reliably. We do not currently use cookies for advertising, retargeting, or cross-site tracking. Most browsers let you block or delete cookies through your browser settings; doing so may affect some Site functionality.

Data retention

We retain the information collected through the consultation form for as long as reasonably necessary to respond to your inquiry, pursue a potential engagement, and maintain business records, and thereafter as needed to comply with legal obligations, resolve disputes, and enforce our agreements. If we agree to work together, information related to your engagement is retained in accordance with our services agreement and standard business recordkeeping practices.

Data security

We use reasonable administrative, technical, and organizational measures designed to protect the information you provide, appropriate to the nature of a small professional services website. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Your choices and privacy rights

Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you, to opt out of certain uses, or to receive a copy of your information in a portable format. Specific statutory rights vary by state and country and this Policy does not represent a claim of compliance with every such law; where a specific law applies to you, we will honor the rights it provides.

To exercise any privacy choice, or to opt out of marketing communications, email us at info@seichoco.com or reply STOP to any text message. We will respond to verifiable requests within a reasonable time.

We do not sell personal information and have not done so in the preceding 12 months.

Children’s privacy

The Site is intended for business professionals in the healthcare and wellness industry and is not directed to, and does not knowingly collect personal information from, children under 16. If you believe a child has provided us with personal information, please contact us at info@seichoco.com so we can delete it.

Third-party links

The Site may link to third-party websites, including our Instagram (instagram.com/seichohq) and Facebook pages. This Policy does not apply to those third-party sites, and we encourage you to review their privacy policies separately.

Where your information is processed

Seichō Collective Inc. is based in Dallas, Texas, and the information we collect is processed and stored in the United States. If you are visiting from outside the United States, please be aware that your information will be transferred to, stored, and processed in the United States, where privacy laws may differ from those in your jurisdiction.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the tools we use, or applicable law. Changes are effective when posted to the Site with a revised “Effective Date.” We encourage you to review this Policy periodically.
